Cancellation and Refund Policy

This policy explains how cancellations, fees, and refunds are handled for all services offered by The Suite Stories. It is intended to set clear expectations before any engagement begins.
Planning Fees
Planning fees are charged based on the service engaged and are 100% non-refundable. All planning fees are due in full before any work begins.
Full Travel Design starts at $600. Cruise + Essentials starts at $400 and includes cruise planning, pre-cruise hotel placement, transfers, and travel insurance coordination. Travel Management starts at $300 and is offered on a limited basis.
Fees are confirmed in writing prior to engagement and are tailored to the scope and complexity of the work involved. Planning fees are separate from and in addition to the cost of travel, including cruise fare, flights, accommodations, and any other supplier costs.
Cancellation After Planning Has Begun
Once planning work has begun — including research, proposal creation, or preparation of travel options — a non-refundable Planning Cancellation Fee of $150 applies, payable upon cancellation. This fee reflects the time and expertise invested prior to the delivery of any proposal or pricing.
Cancellation After Delivery of Quotes or Proposals
If you cancel after quotes, pricing options, or a proposed itinerary have been delivered, a non-refundable Proposal Cancellation Fee of $250 applies. This fee is due immediately upon notice of cancellation, supersedes the Planning Cancellation Fee, and is separate from any supplier-imposed penalties.
Revisions and Quote Limits
Initial planning includes one round of revisions or updated quotes. Additional revisions, quote requests, or itinerary adjustments beyond the included round may be purchased as an add-on service at rates determined by Travel Advisor.
Supplier Cancellations and Refunds
Hotels, cruise lines, airlines, and tour operators each maintain their own cancellation and refund policies. By booking travel, you agree to comply with the terms established by each supplier. Refunds for travel components are not issued by The Suite Stories. Refunds, if permitted, are processed directly through the supplier, and supplier penalties may apply. The Suite Stories cannot override or modify supplier cancellation policies.
A minimum of 48 hours notice by email is required for any cancellation or modification request. Travel Advisor is not liable for penalties resulting from untimely requests.
Travel Insurance
Travel insurance is not included unless expressly purchased by the client. Without appropriate coverage, cancellation penalties from Travel Advisor and suppliers will apply, resulting in potential loss of monies up to the full cost of your booking. The purchase of travel insurance is strongly recommended on all trips.
Non-Performance and Force Majeure
The Suite Stories is not responsible for cancellations, schedule changes, service interruptions, or non-performance caused by suppliers, weather events, natural disasters, civil unrest, pandemics, government actions, or circumstances beyond reasonable control. Any refund or credit related to supplier non-performance is determined solely by the supplier.
Agreement
By engaging the services of The Suite Stories, you acknowledge and agree to this Cancellation and Refund Policy and the full Terms and Conditions governing your engagement.
